When this support could help

  • Your contracts came from a template, or have not been reviewed for years.
  • You do not have an employee handbook, or it no longer reflects the business.
  • Employment law has changed and your policies have not.
  • Different people on the same role have very different terms.
  • You are growing and need proper HR foundations in place.

Support can include

  • Employment contract templates and contract reviews
  • Employee handbooks
  • HR policies written for your organisation
  • Disciplinary, grievance and absence procedures
  • Data protection documentation, such as employee privacy notices
  • Updates to reflect changes in employment law

HR documentation that fits your business

Contracts, policies and handbooks are the foundations of good people management. When they are clear and up to date, managers know what to do, employees know what to expect and disputes are less likely. When they are out of date or copied from a template, they can leave you without the protection you thought you had.

Sapphire writes and reviews HR documentation for growing organisations, in plain English and tailored to how you actually work.

Employment contracts

Every employee and worker is entitled to a written statement of their main terms on or before their first day. We can provide contract templates for your roles, review the contracts you already have, and make sure clauses such as notice, probation, sick pay, confidentiality and restrictive covenants work as they should.

Our free guide explains what an employment contract should include and the risks of getting it wrong.

Employee handbooks and HR policies

An employee handbook brings your policies together in one place. We can write a handbook from scratch or update the one you have, covering areas such as:

  • disciplinary and grievance procedures
  • absence and sickness
  • holidays and family leave
  • equality, diversity and inclusion
  • flexible working
  • data protection and IT use
  • health, safety and wellbeing

Policies only work if people follow them, so we keep them practical and readable.

Keeping up with the Employment Rights Act 2025

UK employment law is changing in stages. Statutory sick pay changed in April 2026, and the unfair dismissal qualifying period falls to six months on 1 January 2027, with further changes planned. If your contracts and handbook were written before these changes, now is a good time to review them, particularly probation, sick pay and notice clauses.

A good first step for a growing business

For many organisations, a documentation review is the most useful first piece of work. It gives you a clear picture of your risks and a practical plan to fix them. Sapphire is based in Derbyshire and supports employers across the Midlands and the UK.

Your questions

What HR policies does a small business need?

Most employers need, as a minimum, disciplinary and grievance procedures, plus clear policies on absence, holidays, equality, health and safety and data protection. The right set depends on your size, sector and how you work, which we can advise on.

Is an employee handbook a legal requirement?

A handbook is not a legal requirement in itself, but it is the simplest way to keep your policies in one place and make sure every employee can find them. Some information, such as disciplinary and grievance procedures, must be made available to employees.

Can you review contracts we already have?

Yes. We can review your existing contracts and templates, tell you plainly what needs changing and update them, rather than starting from scratch.

How often should HR policies be reviewed?

We recommend reviewing contracts and policies at least once a year, and whenever employment law changes. The Employment Rights Act 2025 is introducing changes in stages through 2026 and 2027, so many policies need attention now.
